Reports

There are a number of different reports in Treks. Each report has filters that can be used to limit the scope of the report. You can retrieve a report for any time interval.

The filters that can be used in a report are determined by the report. Filters appear in the UI on the line below the report type drop-down menu. It is possible to select more options in each list. In the case of several alternatives in the same type of filter, the choices are interpreted as disjunction. Between the different types of filters, the types are interpreted as conjugation.

Example:

The "Profit / Loss Customer" report.

Under "Select roles" select ADMIN and CONSULTANT.

Under "Select customer" select ABB.

Click the "View" button.

You will now see the report "Profit / Loss Customer" where times for users with the role ADMIN or the role CONSULTANT are displayed and where the customer is ABB.

Profit / Loss Customer

Grouping by Customer, Project, Subproject and User. The rows accumulate upwards for each grouping. The report shows the number of hours, hourly rate, billable amount and cost.

Definition of Salary Cost

Monthly cost from the contract * General salary cost factor. The total is then distributed on each project proportionally to the amount of hours reported on the project compared to the total amount of hours reported by the user.

Example 50000 monthly cost * 1.65 cost factor = 82500

Project 1 has 60h reported. Project has 90h reported. In total 150h reported.

Project 1 salary cost is 82500/150*60 = 33000

Project 1 salary cost is 82500/150*90 = 49500

Definition of Project Cost Monthly cost from the contract * General salary cost factor. The total is then divided by the work schedule (work hours per day defined in the contract) during the date interval. This gives a real hourly cost. This hourly cost is multiplied by the number of hours reported on each project if the project carries a cost (project type of billable, internal or absence with cost enabled)

Example 50000 monthly cost * 1.65 cost factor = 82500

Project 1 has 60h reported. Project has 90h reported. During the date interval selected the user had 125h scheduled for work.

Project 1 project cost is 82500/125*60 = 39600

Project 1 project cost is 82500/125*90 = 59400

Profit / Loss Users

Grouping by User, Customer, Project and Subproject. The rows accumulate upwards for each grouping. The report shows the number of hours, hourly rate, billable amount and cost.

Lock periods

List the time interval periods per user. Locked and unlocked periods are indicated by color.

Reported hours

List all hours of the time interval per user. If the project is a customer project, internal project or absence is indicated by color. The size of the boxes shows how much of the scheduled time is reported. You can hover over a box to get more information about which project and the reported time.

Time Distribution Users

Accumulated hours per user grouped into scheduled time, working time, flex time, billable time, internal time and absence.

Flex

Flex for the time interval and accumulated to today's date per user.

Absence

Lists the time interval absence per user. Reported absences are displayed in magenta color so that you can quickly identify absences.

Occupancy rate

How much of the reported time is billable. Appears as a bar chart over the time interval divided into more days. In order for a user to be included in the calculation of occupancy rate, the following conditions must be met:

  • Active

  • Working hours greater than 0 hours per day

  • Has the "canRegisterTime" permission

  • Has a form of employment, at the beginning of the period, which is of the monthly cost type

The occupancy rate is calculated according to the formula you enter under Company settings. If you have not specified a formula, use (*ALL - *ABS) / *SCH

The company's average occupancy rate, which you can see in the overview view, is calculated by first calculating the occupancy rate for each user and day. Then the mean value is calculated.

Contribution Margin

The relationship between billable amount and cost. Appears as a line chart over the time interval divided into more days.

Internal time

Lists the time interval internal time per user.

Notes per User

Lists all reported times that have a listing. Grouping by User, Customer, Project and Subproject.

Lists all reported times that have a listing. Grouping by Customer, Project, Subproject and User.
